Program Cancellation & Refund Policy
The McGaw YMCA does not impose contracts on our members or program participants, and participants are free to cancel programs at any time. Written notice is required to cancel a program. Participants must submit cancellation request in writing via web form prior to their next scheduled draft date.
Health and Fitness Programs and Activities
This policy is for or all health and fitness programs and activities including weight loss, swim lessons and youth sports. See below for policy related to child care, early education, and after school programs, day camps, and overnight camps.
Participant Initiated Cancellation Policy
Non-refundable deposits will not be refunded.
Most programs are non-refundable. Please review program details and ensure your ability to commit to the program prior to registration.
Not attending the class or program does not entitle a participant to a credit or refund. When enrolled, the participant is reserving space, time, and staffing whether the participant attends the program or not.
When exceptional circumstances arise where participation is not possible (i.e., medical reasons or family emergency) the participant may email Member Services a request for consideration of a credit or refund.
All credits are valid for six months from their creation date. There is a $10 processing fee.
Transfers after the start of the session can only be made upon approval from either the Program Director or Manager.
YMCA initiated cancellations or temporary facility closure
All schedules, activities, class fees and staff may be changed or cancelled by the YMCA without notice. If the YMCA cancels a fee-based class or program for any reason, a credit toward another session/service will be issued automatically. Credits will be applied to any past due or future scheduled payments. Upon written request via web form, a refund will be provided.
When the Y closes a facility temporarily due to weather, emergency, facility improvement or community related concerns, the Y will issue a prorated activity credit for each class or session missed. Credits will be applied to any past due or future scheduled payments. Upon written request via web form, a refund will be provided.
Refunds will not be issued for amounts under $10.
Child Care, After School, Early Learning Programs and Camps
This policy is for child care, early education, and after school programs, day camps, and overnight camps.
Participant Initiated Cancellation Policy
Day Camps: Summer (June – August) and School Break Camps. If a participant wishes to cancel a weekly day camp enrollment, they must submit a Transfer/Withdrawal form no later than Wednesday by 5pm prior to the start of camp to receive a system credit. System credits will only be issued for camp program fees (weekly camp registration deposits will not be credited). Camp program fee credits are non-refundable and non-transferable outside of day camp programing.
Cancellations after the deadline, will not result in a system credit, except for unforeseen circumstances and only when approved by the YMCA – Children’s Center Registration Manager.
If a participant wishes to cancel a daily break camp enrollment, they must submit a Transfer/Withdrawal form 2 business days before the day they wish to cancel to receive a system credit. A system credit will only be issued for program fees (registration fees will not be credited). Program fees are non-refundable and non-transferable outside of break camp programing.

Child Care, Early Learning Programs and After School. You must notify the Center of a withdrawal or change in service 30 days in advance using the Termination of Services form available at the front desk. Early withdrawal (without one-month notice) will result in payment for the entire month’s tuition.
Family Camps and Weekend Retreats (Camp Echo). An individual or family can cancel at any time. Full refunds are available on any cancellations made at least 30 days before the camp start date. Participants must notify the YMCA by phone or email for cancellations. Refunds on cancellations made for any reason within 30 days of the camp start date will be at the discretion of the YMCA.

Overnight Camping Programs (Camp Echo). Cancellations received by June 1 are eligible for a refund of fees less the non-refundable deposit. Prior to June 1, families can cancel themselves out of their program. Any cancellations or refund requests received after June 1 (via email or phone) are not eligible for refund. Approved refunds are processed via original payment method. Extenuating circumstances may be reviewed and potentially approved at the discretion of the YMCA. No refunds are granted for campers who are late arrivals, no shows, or who are asked to leave camp early for behavioral issues.
